Refund Policy
Last updated: September 9, 2026
This Refund Policy explains how charges, cancellations, plan changes, and refunds work for paid SwipeFlow subscriptions. It forms part of, and should be read together with, our Terms and Conditions. Capitalised terms have the meaning given there.
1. Scope
This policy applies to SwipeFlow “Pro” subscriptions (including per-seat subscriptions) purchased through our checkout, which is processed by Stripe. Payments are collected and, where applicable, refunded by Stripe on our behalf, to the original payment method.
2. Free trials
If your subscription includes a free trial, you are not charged during the trial period. You may cancel at any time before the trial ends to avoid being charged. If you do not cancel, the subscription converts automatically to a paid subscription at the end of the trial and the normal billing terms in this policy apply. Trials are available once per customer; we may end a trial early where we detect repeated trial sign-ups by the same person or payment card.
3. Billing and non-refundability
Subscription fees are billed in advance for each billing period (monthly or annual, as selected). Except as expressly stated in this policy or required by applicable law, payments are non-refundable, and we do not provide refunds or credits for partially used billing periods, unused seats, or downgrades.
4. Cancellation
You may cancel your subscription at any time from the Billing settings page or the Stripe customer portal. Cancellation takes effect at the end of the current billing period: you keep access to paid features until then, and you are not charged again. Cancelling does not retroactively refund the current or any prior billing period. If you cancel by mistake, you can resume the subscription before the period ends at no additional charge.
5. Adding and removing seats
For per-seat subscriptions, seat changes take effect immediately:
Adding seats. New seats beyond what you have already paid for in the current period are charged immediately, prorated for the remainder of that period. Re-adding a seat you removed earlier in the same billing period is free, because it was already paid for; it will be billed again at the next renewal only if you keep it.
Removing seats. The seat count is reduced right away, but no refund or credit is issued. You retain the capacity you already paid for through the end of the current billing period and may re-add those seats at no extra charge before it renews. From the next renewal onward, you are billed for the reduced seat count.
6. Annual plans
Annual subscriptions are paid up front for the full year, typically at a discount that reflects that commitment. Cancelling, downgrading, or reducing seats during an annual term does not generate a refund or prorated credit; changes that reduce your cost take effect at the next annual renewal.
7. Billing errors
If you believe you were charged incorrectly — for example a duplicate charge, a charge after a timely cancellation, or an amount that does not match your plan — contact us within 60 days of the charge with your account email and the invoice number. We will investigate, and where we confirm an error we will refund the incorrect amount to the original payment method.
8. Service outages
The Service is provided “as is” and we do not offer a contractual uptime guarantee (see the Terms). If the Service is materially unavailable for a sustained period, contact support; at our discretion we may issue a service credit toward a future billing period. Service credits are not redeemable for cash.
9. Taxes
Any taxes collected are remitted to the relevant authority and are refundable only to the extent a corresponding subscription refund is issued and the law requires it.
10. Chargebacks
If you have a billing concern, please contact us first — we can usually resolve it faster than a bank dispute. Initiating a chargeback for a legitimate charge may result in immediate suspension or termination of your account.
11. How to request a refund or review
Email billing@swipeflow.io from the address associated with your account, including the invoice number and a short description of the issue. We aim to respond within 5 business days.
12. Your statutory rights
Nothing in this policy limits any non-waivable rights you have under mandatory consumer-protection law in your jurisdiction. Where a statutory right of withdrawal applies (for example the EU/UK 14-day cooling-off period for consumers), note that by starting to use the Service during that period with your express consent, you may lose that right for the portion consumed.
13. Changes to this policy
We may update this Refund Policy from time to time. Material changes will be announced in the same way as changes to the Terms, and will not apply retroactively to charges already made.
